Community Engagement Protocols in Children's Services

The Council has recently introduced a policy which will help to streamline the community and stakeholder consultation that is undertaken in the City.

The Community Engagement Protocol will:

  • Help to ensure that different parts of the council and its partners work together to gather information and do not bombard the community and stakeholders with several consultations at once.
  • Help to identify whether another similar piece of consultation has taken place before which might mean that the planned consultation is not required. It may also provide a benchmark over time about a particular issue which will support future planning.
  • Help to identify resources within the LA or partner agencies who may be able to help with the consultation or have an interest in the outcome.
Do I need to log community engagement activities that I am involved in?

This process does not require the notification of routine engagement, participation activities that happen on a day to day basis as a matter of course.

In considering whether activities should be notified, the following questions should be asked:

Is this engagement activity likely to be of interest to, be of use to or have an impact on another part of the organisation?

E.g. consultation about school closure, consultation with young people in school on an annual basis e.g. Tellus Survey (there may only be a requirement to log a consultation once if it is intended to happen at regular intervals.

YES. If so it would be useful to log it.

Is this engagement activity simply useful for my section/directorate as part of monitoring/developing the service?

NO. If not there is no need to log the activity.

How do I log an activity?

If an activity requires to be logged, a Project Initiation Form (PID) should be completed. Please complete the following online form.

If you have any further queries or would like some advice as to whether a project should be logged or not please contact the Children's Services representative on the Community Engagement Group.
